Terms & Conditions

These terms and conditions govern the participation of all attendees (including delegates, sponsors, speakers/presenters, and exhibitors) in the CRANAplus Conference. By participating in the event you express your agreement with these terms and conditions. If you book on behalf of another individual, you must ensure they are aware of these terms.

Payments

All prices are in Australian dollars and include GST unless stated otherwise.

Sponsors and exhibitors must make full payment within 14 days of receiving an invoice via email after making their booking. Entitlements are dependent upon receipt of payment. 

Delegates can request to pay registration fees in three instalments, with each instalment payable within 14 days of receipt of the invoice.

If you register within 10 days of the event, payment is due at the time of registration via credit card.

When submitting an EFT payment, please include the reference shown on your Tax Invoice and email us the transaction details, inclusive of date, amount, and your bank's reference.

Credit card charges will appear as CRANAplus on your statement. Transactions are processed securely, and CRANAplus does not store or transmit credit card details.

Registration inclusions, changes and cancellations

Participants are only entitled to the inclusions specified on the website for their category of registration. Any additional costs are the responsibility of the participant. 

Participants agree not to share their access details for the online registration portal. If you can no longer attend and have a colleague who wishes to attend in your place, please contact us and we will modify the registration.

Delegate cancellations made up to 30 days before the event (if paid online) are eligible for a full refund; an administration fee of $50 applies to any bookings refunded via phone or email. No refunds are issued for cancellations within 30 days of the event.

Non-attendance does not constitute grounds for a refund.

Insurance

Registration fees do not include personal insurance. Participants are advised to obtain appropriate insurance. We are not liable for any expenses incurred due to individual cancellations or event changes.

No insurance is provided for sponsors or exhibitors. All sponsors and exhibitors must have necessary insurance for the period of the conference, including public and product liability and professional indemnity insurance, and are expected to be able to provide a certificate of currency. 

By accepting these terms you indemnify CRANAplus from any liability for damage of the venue caused by staff or other representatives of your booth and/or organisation, and accept the cost of any necessary repairs as your responsibility. 

Security

Valuables should not be left unattended during the conference, including overnight in the exhibit space. CRANAplus accepts no responsibility for the loss or damage of equipment or materials.

Changes to event

CRANAplus retains the right to shift from an in-person event to a hybrid or online format. In these circumstances, existing delegates, sponsors and exhibitors will be transferred accordingly and registration fees will be adjusted, with any excess refunded or provided as a credit towards this or future events.

CRANAplus is not liable for losses resulting from the cancellation or postponement of an onsite event due to various circumstances. Potential losses include but are not limited to travel, exhibition and accommodation costs. Potential unforeseen circumstances include but are not limited to disease outbreak, industrial disruption, service provider failures, war, terrorism, natural disaster, civil disorder, transport disruption, and Force Majeure. 

We reserve the right to modify presentation times or formats and to change any aspect of the event, including but not limited to, the name, themes, program, speakers, format, venues, and times. We also reserve the right to amend or remove any sponsorship or exhibition package or floor plan at our sole discretion. 

Code of Conduct

CRANAplus is committed to providing an event that is welcoming and safe for all participants, free from unlawful discrimination and harassment, and where all participants are treated with dignity and respect.

Adherence to this Code of Conduct is part of acceptance of these Terms and Conditions by participants, exhibitors, and sponsors. This Code of Conduct covers all aspects of this event, including conference sessions and breaks, social events, and communication, including that via email or social media associated with the conference/meeting/event. Unacceptable behaviour includes, but is not limited to:

  • Harassment, including verbal comments relating to gender, sexual orientation, disability, race, ethnicity, religion, age, national origin, gender identity or expression, or physical appearance.
  • Inappropriate and/or unwanted physical contact.
  • Unwelcome sexual attention.
  • Stalking or deliberate intimidation.
  • Unwanted photography or recording (if you are asked to stop photographing or recording someone, please do so; if someone indicates that they do not want to be photographed or recorded, do not record or photograph them).
  • Discriminatory or sexual images in public spaces.
  • Sustained or wilful disruption of talks or other events.
If you have any concerns related to this Code of Conduct during the event, please advise a CRANAplus representative.

Other considerations include the following:

  • All participants are expected to wear their name badge when within the conference venue and for the duration of the program, with the exception of the gala dinner.
  • All participants must comply with the venue’s dress code, as a condition of entry.

    COVID-19

    The event will take place in accordance with Worksafe Victoria requirements and venue protocols. By participating in the event in-person, you acknowledge there is a risk of contracting COVID-19 at the event and we are not responsible for any transmission associated with the event. Participants are required to abide by all health protocols at the venue which may include, but are not be limited to, social distancing, mask wearing and vaccination mandates. Any delegates that are displaying COVID-19 like symptoms should consider not attending the venue.

    Privacy and Data

    CRANAplus is committed to protecting the privacy of the personal information we receive and managing information in accordance with relevant legal obligations.

    We collect, use, disclose, store, secure and dispose of your Personal Information in accordance with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth) (the Privacy Act).

    A copy of the Australian Privacy Principles may be obtained from the website of The Office of the Australian Information Commissioner at www.aoic.gov.au. The CRANAplus Privacy Policy and the Mental Health and Wellbeing Privacy Policy can be viewed at www.crana.org.au .

    Collection of Personal Information

    We collect and hold personal information that is reasonably necessary for the proper performance of our business functions, services, and activities. 

    We may collect personal information from you, including but not limited to, your name, contact details, professional affiliations, dietary requirements, accessibility requirements, and other relevant information. We may collect credit card details for payment and bookings. Personal information may be collected through various means, such as our website, registration forms, email correspondence, surveys, or during our business activities.

    If you are providing information for another person, you should only do so with their consent and you should inform them of this policy.

    Use and Disclosure

    We will use your personal information for the purpose for which it was collected. In this case this relates to providing conference-related services, sending event updates, responding to enquiries, processing registrations and associated bookings, making accommodation bookings on your behalf, and managing event logistics.

    We may disclose your personal information to third parties, including our contractors, service providers, and business partners, who assist us in delivering our services. However, we will only disclose your information to the extent necessary for

    • the delivery of services,
    • during your engagement with CRANAplus through membership or other purposes,
    • managing an event in which you are participating,
    • where required or authorised by law.

      Security of Personal Information

      Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification, or disclosure.

      When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept for a minimum of 7 years.

      Sensitive information

      If it is reasonably necessary in the circumstances, CRANAplus may also collect sensitive information (as defined in the Privacy Act), where you choose to provide it, such as nationality, ethnic background, cultural diversity, or relevant health information. 

      Any sensitive information collected by CRANAplus is received because you have provided it to us directly. For example, you have filled in an online form and elected to disclose relevant allergies, dietary requirements or medical conditions that may be relevant to you attending a course. We do not collect sensitive information without you knowing and directly providing it to us. Your consent to the collection of sensitive information will be assumed when you provide your information to CRANAplus for use in accordance with this Privacy Policy. 

      Websites and Cookies

      You are not required to provide personal information when you visit our websites, unless you choose to by registering for an event, subscribing to a mailing list or making an enquiry. Websites, use small text files downloaded by your web browser called cookies. Your web browser should recognise when a cookie is offered and allow you to refuse or accept it. Cookies are primarily used to enhance your online experience and collect metadata, such as your IP address and the date and time you accessed our site. This information isn’t used to identify you or shared with anyone.

      Access to your Personal Information

      You have a right to access the Personal Information we hold about you and request to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please lodge a request through ‘Contact Us’ at www.crana.org.au.

      To protect your Personal Information, we may require identification from you before releasing the requested information.

      Intellectual Property 

      All intellectual property rights to the event content and materials distributed at or in connection with the event are owned by us or the sponsors, &/or speakers presenting at the event. Participants may not reproduce the event content and materials distributed at or in connection with the event for any reason without the prior written permission from us.

      No part of the event may be recorded, reproduced or transmitted in any form or by any means, electronically or mechanically, including but not limited to video or audio recording, photographing, photocopying or any other information storage or retrieval system known now or in the future, without the explicit written permission of us.

      Disclaimer

      CRANAplus will promote the event to boost participation, however, a minimum number of participants cannot be guaranteed. 

      CRANAplus makes all possible efforts to ensure accuracy of the information it publishes in connection with the event. However no liability is accepted for the publication of inaccurate information. Any published information will be corrected as a matter of urgency once we are aware of any inaccuracies.

      All delegates, sponsors and exhibitors occupy the venue at their own risk and CRANAplus will not be liable for any loss in connection with the conference, except in the case of negligence.  

      Photography & Video

      Professional photographs and videos will be taken at the event. During the registration process, delegates have the opportunity to provide their consent, or lack thereof, to any photographs and videos of themselves being used by CRANAplus to promote future events.

      Policy Updates

      CRANAplus reserves the right to change or update its Terms and Conditions, Policies and Procedures at any time.
